I assume that you've been using the Z1 reports on a daily basis to track sales? If so then just use the Z2 reports on a monthly basis

yes that is correct but when I type in 1 clerk I can't get signed in to get at the reports any idea ?

You're going to have to assign them in SP mode for the correct security levels.
Keith,
Under SP position log in and select Report security and select level 1 on the selected report you require. (assuming its the same level as your log on clerk).
Then try log on in z2 position.
